    Privacy policy

    Below is a description of how we collect, use, and deal with the information, including personal information, which you provide us with, and which is generated as a part of the contract that is formed when you use our services and products. easy pbx AB (Easy Telefoni), registration number 556908-0483, is the data controller and responsible for how the processing and handling of personal data is carried out.

    Processed information

    “Customer Data”, is Personal Data connected to the Service – e.g. name, address, email, telephone number and social security number. It also includes information about which Service you use, and how you use them, order, user-ID, password and other information you have left when you have been in contact with us.

    “Traffic Data”, is Personal Data connected to what happens when you use our Services. Traffic Data is used with the objective to send electronic messages through an electronic communications network when you use the Services. The Traffic Data is also used to invoice your use of the Services, and for instance, shows who you have communicated with, the time that the communication started and ended, the duration of the communication and what networks were used.

    ”Email data”, is data such as text and attachments in emails that are sent or received on email accounts that have been integrated with the Easy Teams app by the Customer. Currently, integrations with Office 365 email accounts are supported. We do not store emails on our servers. Also, we do not share such data with any third-party service provider. For reasons of speed, email data may be cached, in encrypted form, in the client. The cache is cleared after Sign Out.

    Additional limits on the use of Email data: Notwithstanding anything else in this Privacy Policy, the use of that data will be subject to these additional restrictions:

    1. The Easy Teams services will only use access to read, write, modify, or control email message bodies (including attachments), metadata, headers, and settings to provide a web email client that allows users to compose, send, read, and process emails and will not transfer this Email data to others unless doing so is necessary to provide and improve these features, comply with applicable law, or as part of a merger, acquisition, or sale of assets.
    2. The Easy Teams services will not use this Email data for serving advertisements.
    3. The Easy Teams services will not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes such as investigating abuse, to comply with applicable law, or for the Easy Teams service’s internal operations and even then only when the data have been aggregated and anonymized.

    Calendar and contact data”, is data from your contacts and calendars on accounts that have been integrated with the Easy Teams app by the Customer. Currently, integrations with G Suite and Office 365 accounts are supported. We do not store calendar event data or contact data from connected accounts on our servers. Also, we do not share such data with any third-party service provider. For reasons of speed, calendar & contact data may be cached, in encrypted form, in the client. The cache is cleared after Sign Out.

    Additional limits on the use of Calendar and contact data: Notwithstanding anything else in this Privacy Policy, the use of that data will be subject to these additional restrictions:

    1. The Easy Teams services will only use access to read, write, modify, or control calendar events and contacts to provide a web client that allows users to create, edit, read, and process calendars and contacts and will not transfer this Calendar and contact data to others unless doing so is necessary to provide and improve these features, comply with applicable law, or as part of a merger, acquisition, or sale of assets.
    2. The Easy Teams services will not use this Calendar and contact data for serving advertisements.
    3. The Easy Teams services will not allow humans to read this data unless we have your affirmative agreement for specific messages, doing so is necessary for security purposes such as investigating abuse, to comply with applicable law, or for the Easy Teams service’s internal operations and even then only when the data have been aggregated and anonymized.

    Third-party services data”, is data from external services that have been integrated with the Easy Teams app by the Customer. Once integrated, the provider of a Third Party Service may share certain information with the Easy Teams app. For example, if a customer relationship management application is integrated to permit information to be imported to the Customer, we may receive names and email addresses of contacts, along with additional information that the application has elected to make available to facilitate the integration. When a Third Party Service is integrated by the Customer, Easy Telefoni is authorized to connect and access information made available through the integration in accordance with our agreement with the Third Party Provider.

    Processing purpose

    The information about you collected, and generated when our services are being used, are handled in accordance with the General Data Protection Regulation (GDPR) and the Swedish supplementary data protection act and for the following purposes:

    • To fulfill obligations within current contracts for the delivery of services and products.
    • To provide service information and updates.
    • To evaluate, develop and improve our services, products and offerings.
    • To administer and customize your visit and access to selected parts of our online services.
    • To deliver direct marketing material.
    • To implement marketing and customer analysis.
    • To fulfill our obligations under the law.

    Information disclosure

    Under the following circumstances, we may share information about you:

    • For employees, subcontractors and other companies that easy pbx AB cooperates with, to provide our services and products.
    • For companies that easy pbx AB partners with to provide offers and other promotions for products and services that may interest you.
    • easy pbx AB may also use and share aggregated information and statistics to monitor our services.     Recipients of Personal Data and transfers to third countries outside the EU.

    In our capacity as Data Controller, we may assign the processing described above to a partner or supplier, e.g. Zendesk Inc (ticketing system), FrontApp Inc (E-mail system). Such processing will not be made for other purposes than as described above. Some partners and suppliers may have parts of their businesses in countries outside the EU/EEC (so-called Third Countries). Transfer is only made to such countries that offer an adequate level of data protection according to the EU Commission, or if the supplier has a legally binding and enforceable instrument that guarantees the safety of the Personal Data.

    Information protection and access to personal data

    easy pbx AB takes appropriate technical and organizational security measures, consistent with industry standards, to ensure that all personal data processed, are protected from unauthorized access. A limited proportion of employees have access to information about you and handling of the information is regulated. All those employees have entered into secrecy agreements.

    Rights to Access to Personal data

    You have the right to obtain from easy pbx AB confirmation as to whether or not personal data concerning you are being processed, and, where that is the case, access to the personal data and the following information:
    (a) the purpose/s of the processing;
    (b) the categories of personal data concerned;
    (c) the recipients or categories of recipient to whom the personal data have been or will be disclosed, in particular recipients in third countries;
    (d) where possible, the envisaged period for which the personal data will be stored, or, if not possible, the criteria used to determine that period;
    (e) the existence of the right to request from easy pbx AB rectification or erasure of personal data or restriction of processing of personal data concerning the data subject or to object to such processing;
    (f) the right to lodge a complaint with a supervisory authority;
    (g) where the personal data are not collected from you, any available information as to their source;
    (h) the existence of automated decision-making, including profiling, referred to in Article 22(1) and (4) of the GDPR and, at least in those cases, meaningful information about the logic involved, as well as the significance and the envisaged consequences of such processing. Where personal data are transferred to a third country or to an international organization, you have the right to be informed of the appropriate safeguards pursuant to Article 46 of the GDPR relating to the transfer.

    easy pbx AB is aiming at processing only personal data which is correct and that it is updated.

    Rectification

    You have the right to obtain from easy pbx AB, without undue delay, the rectification of inaccurate personal data concerning you.

    The right to be forgotten

    You have the right to obtain from easy pbx AB the erasure of personal data concerning you without undue delay and easy pbx AB has the obligation to erase personal data without undue delay inter alia when the personal data is no longer necessary in relation to the purposes for which they were collected or otherwise processed.

    Restriction of processing

    You have the right to obtain from easy pbx AB restriction of processing inter alia when the accuracy of the personal data is contested by you, when the processing is unlawful and you oppose the erasure of the personal data and requests the restriction of their use instead or when easy pbx AB no longer needs the personal data for the purposes of the processing, but they are required by you for the establishment, exercise or defence of legal claims.

    Data portability

    You have the right to receive the personal data concerning you, which you have provided to easy pbx AB, in a structured, commonly used and machine-readable format and have the right to transmit those data to another data controller without hindrance from easy pbx AB where the processing is based on consent or on a contract or the processing is carried out by automated means.

    Profiling

    You have the right to object to the processing of personal data concerning you based on automated decisions and/or profiling. This shall not apply if the decision is necessary for entering into, or performance of, a contract between you and easy pbx AB or follows from a legal obligation.

    Right to lodge a complaint

    You have the right to lodge a complaint with the supervisory authority. [In Sweden the Data Inspection Authority].

    Data Processing Agreements

    easy pbx AB cooperates with other companies that process Personal Data on behalf of easy pbx AB. easy pbx AB uses only data processors that provide sufficient guarantees that they implement appropriate technical and organizational measures in such a manner that processing will meet the requirements of the GDPR and ensure the protection of the rights of all data subjects concerned.

    Processing by a data processor is governed by a contract that is binding on the data processor with regard to easy pbx AB and that sets out the subject-matter and duration of the processing, the nature and purpose of the processing, the type of personal data and categories of data subjects and the obligations and rights of easy pbx AB.

    Cookies

    easy pbx AB uses cookies to make it easier for you to receive the correct content when visiting us online, for example when shopping online, items put in a basket will remain there until you leave our web site. Also, easy pbx AB uses cookies to keep statistics of how the web site is used.
